Decentralized data management is often a major challenge in fleet management. Not only is a lot of important data lost, but no coherent conclusions and analyses can be drawn, which would be important for the future direction of a fleet. This lack of transparency can have a negative impact on the cost management of a fleet, as potential savings cannot be identified early enough. Using the example of our customer DBU Facility Services AG, we will show you how you can integrate better fleet management through central data management.

How DBU improved fleet management through better data management

DBU Facility Services AG, with 260 employees, provides facility services to its customers in the greater Zurich area. With a fleet of approximately 100 vehicles, the company needed an efficient fleet management system to provide a better overview of all data and implement processes and workflows more transparently and quickly. A challenge for the company was the diverse vehicles for different operations from which a large amount of information accumulates daily, all of which must be managed. This primarily involved workshop invoices, fuel receipts, or mileage readings. In addition, the company worked with Excel spreadsheets, which made it difficult to link and manage data.

In order to be able to manage all vehicles effectively, DBU decided to use the Avrios fleet management software. The goal here was not only to have a central database but also to automate processes. "We found what we were looking for very quickly at Avrios," says Rolf Müller, Technical Business Manager at DBU Facility Services AG. "Already in the test phase, we were convinced that the solution met all our requirements. We, therefore, did not try any products from other providers."

With Avrios software, the company was able to efficiently link all data points together, allowing them to view vehicle histories and use detailed reports to make future decisions and identify potential cost savings early. Additionally, the increased transparency also saved much more time and could be used for other important tasks. For example, the new platform allowed DBU to see when a car was purchased, what existing claims it had, when which employee drove it, and even perform digital driver's license checks directly. This allows costs for individual vehicles and departments to be viewed and managed transparently. "At regular intervals, we take a close look at how the individual vehicles have performed: How are they in terms of consumption? Are they particularly vulnerable or are they slowly getting on in years? On this basis, we then make the decision as to whether to keep them in the fleet and how many and which types of vehicles we will purchase new in the coming year. To do this, we no longer have to start complex processes in financial accounting, but draw our conclusions on the basis of the data," says Rolf Müller.
