Sanitätshaus o.r.t. GmbH is a medium-sized healthcare service company specializing in homecare, rehabilitation, and orthopedic technology. At the headquarters in Göttingen and its seven additional branches, more than 200 employees work in total, 120 of whom use o.r.t. vehicles.

Fleet manager Andreas Riebensahm joined the company at the end of 2020. At that time, the fleet represented a significant cost factor. The costs for leased vehicles had been rising for years, partly because the vehicles did not match the agreed mileage. “The excess or shortfall kilometers when returning vehicles were a big problem. There were vehicles estimated at 20,000 kilometers that actually had 40,000 kilometers on the odometer, and vice versa,” says Riebensahm. For each vehicle, there was a physical folder in which all documents were stored – from maintenance and claims processing to all insurance papers. In addition, there was a small software solution from the leasing partner, which was part of the leasing contract. “The overview was missing, and connections were not recognized,” Riebensahm summarizes. The introduction of a comprehensive fleet management software was therefore at the top of his priority list.

Another problem was the pool vehicles. The logbooks were kept inaccurately, and trip records were repeatedly missing. The fleet manager therefore decided to introduce the Vimcar logbook. “I had already used the digital logbook privately and had very good experiences with it.” The decisive factors for choosing Avrios as the fleet management software were the clear presentation and the platform’s analysis capabilities.

Keeping leasing contracts under control

Since then, Andreas Riebensahm has been managing the o.r.t. fleet on his own, using almost all functions of Avrios. Particularly important for him: he has access to all vehicle data at any time. This allows him not only to easily manage appointments such as tire changes and monitor the handling of claims, but also to identify cost outliers. This especially pays off with leasing contracts. “I have the mileage of each vehicle in view and can plan accordingly. This applies to new contracts as well as to adjustments of existing ones. For example, it may well be worthwhile to extend the leasing contract by half a year. With the Avrios filter, I can calculate that immediately,” explains Riebensahm.

The residual value of the vehicles has also increased since the introduction of Avrios. In the past, o.r.t. repeatedly had problems when returning vehicles. Defects and damages were claimed, which in turn reduced the residual value. Since Andreas Riebensahm has been automatically monitoring runtimes and having vehicles refurbished with Smart Repair before the due return date, this problem has been solved. On average, the fleet manager saves €1,000 to €1,500 per vehicle.

Logbook helps with mileage balancing

The taxation of company cars is an important issue in all companies. At o.r.t., this is handled in different ways. Personalized company cars are subject to the 1% rule. Pool vehicles require a logbook as proof for the tax authorities. Andreas Riebensahm introduced the Vimcar logbook to document all journeys in a tax-compliant manner. In the meantime, however, he also uses the data from the Vimcar vehicle statistics to save costs. “I can retrieve trips and mileage from the digital logbook at any time. I therefore use individual vehicles as buffers for mileage balancing,” explains Riebensahm. If a vehicle has already accumulated too many kilometers, it is only used for shorter trips or temporarily not used at all.

For electronic driver’s license checks, the main focus is on legal compliance and saving time. Twice a year, as part of his liability as fleet manager, he has to check the licenses of the 120 official drivers. In the past, this was very time-consuming. The electronic driver’s license check from Avrios has simplified this process. Regardless of location and time, drivers can photograph and upload their driver’s license using a smartphone or tablet. Manipulation is excluded.
