How OVS has sustainably optimized its vehicle fleet

Avrio’s client OVS is a leading company in the apparel market in Italy and abroad. During the last years, the firm wanted to optimize internal processes and start the digitalization of its fleet. Until then, many processes were only handled manually and through Excel sheets, which led to a higher error rate and lack of transparency. Better fleet management and planning

One of the company’s biggest challenges was analyzing the annual mileage for its employees. Since employees travel a lot, it was difficult to estimate annual mileage, as it often tripled or even halved from one year to the next. With the Avrios software solution, the company is now able to get more transparency and organization in the mileage figures. This avoids unnecessary costs due to incorrect vehicle mileage planning or even exceeding the contractually agreed mileage. 

In addition, OVS had problems with deadlines, the expiration of contracts in the fleet, and high costs due to maintenance of non-contracted vehicles, which cost several thousand euros per year. Through automated processes and workflows, the company is now able to better adhere to contracts and no longer miss deadlines and prioritize correctly. 

Detailed reports and risk analysis

The lack of transparency and problems saving costs and optimizing the fleet was the result of a lack of detailed reports and risk analysis in the fleet. Through the reporting function of the Avrios software, the company is now able to link data and analyze it effectively. This has also made it possible to make better decisions for the future of the fleet. Cost reports, for example, enable OVS to negotiate better terms with a fuel card or rental car providers. 

“The new IFRS 16 regulation requires us to balance the monthly costs for each car. With Avrios, I can create a report with a list of all license plates with cost breakdown between finance charge and service charge with one click, and I can allocate the costs to the respective budget. Doing this work manually would take too long.”
